Terms of Service
The terms and conditions that govern your use of our website and travel services.
Last updated: 9 May 2026
Please read carefully. By booking with Nona Getaways or using this website, you accept these terms. They affect your rights, refunds, and our shared responsibilities.
1. Agreement to Terms
These Terms of Service ("Terms") form a binding agreementbetween you ("you," "the customer," or "the traveller") and Nona Getaways ("we," "us," or "our"), a travel agencyregistered and operating in Kathmandu, Nepal. By accessing our website, sending us an inquiry, or making a booking, you confirm that you have read, understood, and agreed to these Terms.
If you are booking on behalf of others (a family, group, organisation, or institution), you confirm that you are authorised to do so and that all members agree to these Terms.
2. Our Role as Booking Agent
Nona Getaways acts as a booking agent that connects you with airlines, hotels, tour operators, transport providers, training partners, and other third-party service providers. While we carefully select our partners and put significant effort into curating your experience, the actual delivery of flights, accommodation, transport, and other on-ground services is the responsibility of those third parties under their own terms and conditions.
For our own directly operated services — such as itinerary design, customer support, group coordination, certified guides on our treks, and Mountain Academy training programs — we are directly responsible.
3. Bookings & Confirmation
An inquiry, hold request, or unconfirmed itinerary does not constitute a booking. A booking is considered confirmed only when:
- You have reviewed and accepted the final itinerary, services, and price;
- The required deposit or full payment (as agreed) has been received; and
- We have issued an official confirmation document — for air tickets, this includes the PNR and e-ticket number; for tours and treks, a confirmation voucher.
Until both conditions are met, all itineraries, services, and prices remain subject to change based on availability and operational feasibility.
4. Pricing & Payment
Air ticket prices are dynamic and controlled by airlines. They may go up or down at any time until the ticket is fully issued. Once your ticket is issued, the price is final.
Tour and trek package prices are quoted based on the agreed itinerary, group size, and current rates from our suppliers. Quoted prices are valid for the period stated on the quotation; significant changes in airfare, taxes, exchange rates, or government fees may require revision.
We accept the following payment methods:
- Connect IPS (direct bank transfer through Nepal's integrated payment system)
- eSewa (Nepal's digital wallet)
- Bank transfer to our company account
- Cash payment at our office in Kathmandu
Air tickets require full payment before issuance. Tour and trek packages typically require a deposit at booking and the balance before departure. Specific terms will be communicated at the time of booking and included in your confirmation documents.
5. Cancellation & Refunds
Cancellation and refund policies vary by service type, airline, hotel, or tour operator. Some bookings are fully refundable if cancelled within a defined period; others may be partially refundable or non-refundable.
When you cancel, we will pass on any refund received from the underlying provider, minus applicable cancellation fees from the provider and a reasonable handling fee from us where applicable. Refunds are processed through the original payment channel and may take 7–30 business days depending on the provider and your bank.
Specific cancellation terms are clearly communicated at the time of booking and included in your confirmation documents — please review them carefully before confirming.
6. Changes by Service Providers
If an airline changes or cancels a flight, a hotel overbooks or changes reservation terms, or any other service provider alters dates, times, routes, or services after your booking is confirmed, Nona Getaways will not be held responsible for those changes. We will, however, make our best effort to assist you in finding alternatives.
Any additional costs, refunds, or compensation arising from such changes are subject to the policies of the respective service provider. We strongly recommend comprehensive travel insurance to cover such unforeseen events.
7. Customer Responsibilities
You are responsible for:
- Providing accurate personal information, passport details, and travel requirements;
- Ensuring your passport is valid for at least six months beyond your travel dates;
- Obtaining all required visas and travel permits in time for your trip;
- Arriving at airports, pickup points, and meeting locations on time, with all required documents;
- Following the lawful instructions of your guide, driver, or program leader;
- Disclosing any medical conditions, allergies, or fitness concerns relevant to your trip — especially for trekking, mountaineering, and high-altitude activities;
- Respecting local laws, customs, and the environment.
8. Visa & Immigration
Visa approval and entry permission are entirely at thediscretion of the destination country's immigrationauthorities. We provide visa guidance, document checklists, and supporting letters where applicable, but we do not guarantee visa approval.
At the port of entry, you are solely responsible for answering immigration questions truthfully and according to thatcountry's rules. Nona Getaways cannot answer questions on yourbehalf or intervene in immigration decisions.
If your visa is rejected or you are denied entry, costs already incurred — air tickets, hotel bookings, tour packages, and other services — will be subject to the cancellation and refund policies of the respective providers. We strongly recommend travel insurance covering visa rejection and entry denial.
9. Travel Insurance
We strongly recommend purchasing comprehensive travel insurance before any international or domestic travel. A good policy typically covers medical emergencies, trip cancellation, flight delays, lost baggage, visa rejection, and emergency evacuation.
For trekking, mountaineering, and high-altitude programs, your insurance must explicitly cover the activity at the planned altitude (often up to 6,000m or higher) and include helicopter evacuation. Nona Getaways is not responsible for losses, expenses, or damages that could have been covered by adequate insurance.
10. Trekking & Adventure Activities
Trekking, mountaineering, and adventure activities involve inherent risks including but not limited to altitude sickness, weather hazards, slippery terrain, wildlife encounters, and remote-area medical limitations. By participating, you acknowledge these risks and confirm that you are physically and mentally fit for the chosen program.
Our certified guides operate strict safety protocols, carry satellite phones and first aid kits, and have emergency evacuation plans. However, in some circumstances — adverse weather, natural disasters, illness, or unsafe conditions — itineraries may need to be modified, shortened, or cancelled at the discretion of your guide for safety reasons. No refund is owed for safety-driven changes beyond what is recoverable from suppliers.
11. Limitation of Liability
To the fullest extent permitted by law, Nona Getaways' totalliability for any claim arising out of or in connection with our services is limited to the amount you paid us for the specific service that gave rise to the claim. We are not liable for indirect, consequential, special, incidental, or punitive damages, including lost profits, lost enjoyment, or emotional distress.
We are not liable for losses, delays, or damages caused by airlines, hotels, transport providers, weather, government actions, road conditions, strikes, or any third-party acts beyond our reasonable control.
12. Force Majeure
Neither party will be held liable for failure to perform any obligation under these Terms when such failure is caused by events beyond reasonable control — including but not limited to natural disasters, earthquakes, floods, storms, pandemics, epidemics, war, civil unrest, government actions, airline strikes, airport closures, or border closures.
In a force majeure event, we will work in good faith to reschedule or substitute affected services where possible. Refunds, if any, will follow the policies of the underlying providers.
13. Intellectual Property
All content on this website — including text, photographs, illustrations, logos, trademarks, and itineraries — is the property of Nona Getaways or its licensors and is protected by intellectual property laws. You may not reproduce, distribute, modify, or create derivative works without our prior written consent, except for personal, non-commercial use.
14. Governing Law
These Terms are governed by the laws of the Federal Democratic Republic of Nepal. Any dispute arising out of or in connection with these Terms or our services will be settled first by good-faith negotiation, and failing that, by the competent courts of Kathmandu, Nepal.
15. Modifications to Terms
We may update these Terms from time to time to reflect changes in our services, legal requirements, or industry practices.The "Last updated" date at the top of this page indicates whenthey were most recently revised. Bookings made before a change will continue to be governed by the Terms in effect at the time of booking, unless otherwise required by law.
